Coming soon: Upgrade of Outlook email system

Microsoft Office 2016, including Outlook, has been successfully rolled out to most CoreImage devices throughout the health system.

Soon, UMHS will be upgrading the Outlook email system to new servers and storage with updated hardware. This will entail the migration of Outlook email content for all user and resource mailboxes to the new environment beginning the last week of October.

The process will be a rolling migration and continue into December. Users will be notified two weeks prior to their scheduled migration date. Once mailboxes are migrated, some additional changes and improved features for Outlook Web Access (OWA) will be visible. And OWA will change its name to "Outlook on the web."

What you can do in advance to prepare for email migration:

The contents of all Inboxes, Sent Items, and Drafts will all be migrated. Please remember, the more emails you have, the longer it will take for your mailbox migration to complete.

To prepare for the migration of your email contents, we recommend that you begin now to clean up your mailboxes and delete any old messages that are no longer needed. Here are some ways to help you do this:

  • Sort messages by size. This way you can identify your largest files right away and delete them first if you no longer need them.

  • Select “Show as Conversations” to enable all emails related to a particular conversation to be grouped together. This way you can delete an entire conversation thread that you no longer need.

  • Group messages by sender (select “From”) to see all messages sent by the same person. This way you can delete an entire collection very easily.

When migration is completed:

If your email is open when the mailbox completes migration, you may be asked to close and restart Outlook. The same is true for Outlook on the web. Mobile devices may need to be powered off and then turned back on again if your email doesn’t show up properly.
